A proof-reader will ensure your work is ready for publication. Using experience, care, judgement and skill, they check the work of an author, editor, designer or typesetter, and mark up any amendments they identify.

A proof-reader is not an editor, but the job may sometimes involve light editing when there is good reason.

The following is a summary of the areas in which a proof-reader specialises:

Proofreading for accuracy

  • Check page numbers, page headings, spelling and grammar

  • Check the table of contents against chapter titles, page numbers, appendices and the index

  • Check or insert cross-references, where appropriate

  • Check that illustrations, captions and labels correspond with each other and with the text.

Proofreading for style

  • Ensure the document has a consistent style by following a client house style or using professional set standards[GS1]

  • Eliminate inelegant or confusing word, column and page breaks, including 'widows' and 'orphans', which are short first or last lines of a paragraph at the top or the bottom of a page

  • Check that content looks right, reads correctly and is arranged logically

  • Identify any tone of voice inconsistencies

  • Identify omissions and inconsistencies in typography, layout and content.

Some proof-readers will also liaise directly with authors:

  • To resolve any queries

  • Collate any changes

  • Resolve conflicting instructions.

Why use a proof-reader?

Incorrect copy undermines credibility; if you can’t spell or use the correct grammar and punctuation, why should anyone believe in you, your message or your brand? Poor spelling or grammar detracts from your message. It weakens your message and might cause a misunderstanding. You will look unprofessional if there are mistakes in your writing.
